 1 - Receiving E-mail Messages

1.1 - How do I receive and read new messages?


Click on the InBox button to see your new messages. They are highlighted in blue. To read any message, click on the subject of the message you would like to read.

1.2 - How can I view or save attachments?


When you receive a message that contains an attachment, you'll see the icon () in the status field inside the InBox Folder. To save the attachment on your computer, please follow the directions below:

  1. Open the message.
  2. Go to the end of the message and right-click on the link on the right side of the attachment icon () and choose "Save Target As..." (Macintosh users will need to click and hold rather than right click.)

  3. A new window will open. You can now save the attachment as a file. Note the name and destination of the file so that you can find it later.

 2 - Sending E-mail Messages

2.1 - How do I send new messages?


  1. Click on the New: Message button

  2. In the New Message, please follow the directions below:
  • In the To field, specify the recipient's E-mail address. To send your message to more than one person, add additional E-mail addresses in the To field separated by commas.

  • In the Cc field, enter the E-mail addresses of those to whom you would like to send a "carbon copy" of your message. All other recipients of that message will be able to see that the person you designated in the Cc field has received a copy of the message.

  • In the Bcc field, enter the E-mail addresses of those to whom you would like to send a "blind carbon copy" of your message. This is nearly identical to the Cc feature, except that Bcc recipients are invisible to the To and Cc recipients of the message as well as to each other.

  • In the Subject field, enter the subject of your message.

  • Use the large text box to enter the contents of your message.

  • Check the spelling of your message by clicking the Spell Check button. Any word that has been spelt incorrectly will then be displayed in red font.

  • To attach a file to your message, go to the Attachment area below and click on the Browse button. You can attach up to six files with your message.

  • Once you have completed the above steps, click on the Send button at the left of the message text area.
2.2 - What do "Cc" and "Bcc" mean?

Cc: stands for "carbon copy." All other recipients of the message will be able to see that the person you designated as a Cc recipient has received a copy of the message.

Bcc: stands for "blind carbon copy." This is similar to the Cc feature, except that Bcc recipients are invisible to all of the other recipients of the message.
 
2.3 - How do I insert E-mail address(es) from my "Address Book"?

  1. Click on the Address Book button.

  2. Select the Address or Group you would like to address your message to.

  3. Click on To, Cc or Bcc to insert the address or group in the right field.

  4. To close the Address Book page click on the "X" sign at the top right corner.
2.4 - How can I check the spelling of my message before I send it?

  1. Click on the Spell Check button. If the selected Spell Checker finds a word it cannot recognize, the Spell Checker window appears. Any word that may have been spelt incorrectly will then be displayed in red font.

  2. If the Spell Checker program can suggest changes, the Replace button appears with a menu of suggestions. Click on the Replace button to use the selected suggestion and to continue the spell check process.
2.5 - What do the icons in the "Rich Format" Toolbar mean?

(Cut) Cuts the selected text. You can then paste this text elsewhere in the Compose window.
(Copy) Copies the selected text. Highlight text by placing your cursor at the beginning of the area you'd like to copy, press the right button on the mouse, hold the button, and drag the cursor over the entire area to be copied. Once the text is highlighted, click on the Copy icon.
(Paste) Pastes the copied text. Place your cursor where you would like the text to appear and click on the Paste icon.
(Bold) Highlight the text you wish to make bold and click on the b button.
(Italic) Highlight the text you wish to italicize and click on the i button.
(Underline) Highlight the text you wish to underline and click on the u button.
(Text Color) Allows you to select a color for your foreground text. Highlight the text you wish to appear in a different color and select from the color palette. You can also select the font color first, then start typing and the color will be applied to what you type.
(Background Color) Allow you to select a background color.
(Align Text) Choose from flush-left, centered, or flush-right text alignment.
(Numbers List) Creates Numbered list.
(Bullets List) Creates Bulleted list.
(Decrease Indent) Place the cursor where you would like to move the text to the left and click on the Decrease Indent button.
(Increase Indent) Place the cursor where you would like to move the text to the right and click on the Increase Indent button.
(Hyperlink) Lets you insert a web site link.
(Smiley) Show some emotion with what you say by selecting from the list of graphical emotions.
(View HTML source) When you check the View HTML source checkbox, you'll see the exact HTML source of your message with all HTML tags, and you'll be able to edit the HTML if you choose.


2.6 - How can I add an attachment to a message?


You can attach up to 6 files to a message you want to send. To attach a file, please follow the directions below:
  1. Click on the Browse button in the Attachments area below the message text

  2. Select the file you want to attach. The name of the selected file appears in the Attachment field.
Note:  You should attach files after all other message fields are filled. If you click any button (for example, the
          Address Book button) the file selection will be cleared and you will have to select the files again.


2.7 - How do I save a new message to send it later?


You can save your message in the Draft folder by clicking the Save button, which is on the left of the message text area.


2.8 - Can I get a notification if my sent message been received successfully?


In the same message page and before you send your new message:
  • Check the Notify when Delivered checkbox, if you want to be notified that your message has been successfully delivered to the recipient(s) accounts.

  • Check the Notify when Read checkbox if you want to be notified that your message has been opened by the recipient(s).
2.9 - How do I forward a message?

When you read a message stored in any folder, you can click on the Forward button at the top of the page. The New Message page appears and allows you to specify the address(es) to which the message should be forwarded and a comment that will be sent along with the body of the forwarded message.

You can view the original message below the message text area. The unmodified text of the original message is sent along with your comment, using the standard MIME format for message forwarding.


2.10 - How do I reply to a message?


When you read a message stored in any folder, you can click on the Reply or Reply to All buttons. The New Message page appears and allows you to enter the text of your reply message.
  1. If you click on the Reply button, the original message Reply-To header field is automatically placed into the To field of your reply. If the original message did not have the Reply-To header, the original message Form field is used.

  2. If you click on the Reply All button, the original message Reply-To/From address is copied to the To field of the reply message. Then all addresses from the original message To fields are added to the reply To field, and all addresses from the original message Cc fields are copied to the reply Cc field.
2.11 - How do I store a copy of the message I want to send?

From inside the New Message page, just check the Save copy in---- checkbox, located at the top right corner.


2.12 - How do I change the "New Message" page settings?


  1. Click on the Settings button.

  2. Select the Composer Tab

  3. The following options can be set:

    Signature This text is automatically added to all messages you compose using the inet web mail Interface.
    From Address This field allows you to specify the From: address for the messages you send using the inet web mail Interface.
    Reply Header This string is added in front of the quoted text of the original message. It can contain special symbol combinations which are substituted with the original message data:
    ^T the date and time when the original message was sent
    ^F the From address of the original message
    ^N the EOL (end of line) character(s)
    Reply Quoting Each line of the copied original message text is prefixed with this string.
    Note: If you set this option to an empty string, the original message text will not be included into a reply message.
    MIME-encode Headers If this option is set, message header fields containing non-ASCII (national) symbols are sent using MIME encoding.
    Text columns This option specifies the width of the Composer field you use to enter your message texts.
    Auto Wrap This option specifies if the composed text should be hard-wrapped (cut into individual lines) before sending. If you disable this feature, some recipients may see entire paragraphs of your messages as single, very long lines.

  4. Once you finish, click on the Submit button at the top right corner.

 3 - Messages & Folders Management

3.1 - How can I transfer a message from one folder to another?

From inside the message page:


At the top of the message page:
  1. Select the folder you want to move/copy your message to, from the list of folders.

  2. Click either Move (to move the message without keeping a copy in the old folder), or Copy (to copy the message in the new folder while keeping a copy in the old folder).
From outside the message page:
  1. Open the folder that contains the message you would like to move/copy by clicking on the folder name.

  2. Mark the message and select the folder you want to move/copy your message to from the list of folders located at the bottom of the folder page.

  3. Click either Move (to move the message without keeping a copy in the old folder), or Copy (to copy the message in the new folder while keeping a copy in the old folder).
3.2 - How do I delete a message?

From inside the message page:


      Click on the Delete button at the top of the message page.

From inside the folder page:
  1. Mark the message you would like to delete.

  2. Click on the Delete button at the top of the message page.
3.3 - How can search for a message in a folder?

With the folder page open
  1. At the top folder bar, enter the search key words in the text area to the left of the Search button.

  2. Click on the Search button

To get the full list of messages again, keep the search field empty and click on the Search button again


3.4 - How do I sort my messages in a specific folder?


For each message in any folder, several message header fields are displayed. The highlighted field sorts all messages. Click on the field name to highlight a different field and to change the sorting order.


3.5 - How do I change the messages display settings?


  1. Click on the Settings button.

  2. Select the General Tab

  3. In the Folders Viewer area, the following options can be set:

    Use Message Character Set Use this option to set the Character set of the displayed messages.
    Show HTML This option specifies how the inet web mail interface should process messages in the HTML format

    in frame
    In this mode the HTML portions of messages are displayed in an embedded frame, providing complete separation of the message?s HTML code from the inet webmail Interface Folder page code. If you use a browser that does not support embedded frames (Netscape 4.x), you will have to click a special link to open the HTML portion of the message in a separate window.

    inline
    In this mode the HTML portions of messages are inserted into the inet webmail Interface Folder page code. The inet webmail Interface checks the message's HTML portion code and removes some tags that may distort the entire inet webmail Folder page.
    Send Read Receipts Use this option to set how you would like the "Read" notifications to be sent to the original senders.
    Fields The fields listed in this set are displayed in the message headers.

  4. Once you finish, click on the Submit button at the top right corner.
3.6 - How do I set the delete messages option?

To access the delete settings page, please follow the direction below:
  1. Click on the Settings button.

  2. Select the General Tab

  3. In the Trash Management area, the following options can be set:

    Message Delete Method Set this option to Immediately if you want to permanently remove a message when you click on the Delete link or button. Set this option to Move To Trash if you want to move deleted messages to the special Trash Folder, so they can be recovered from there.

    Set this option to Mark if you the Delete operation to mark messages as "deleted", without actually removing them. Then you can use the Purge Deleted operation to remove all folder messages marked as Deleted.

    The remaining options can be used when the Move To Trash method is selected.
    Trash Folder This setting allows you to specify the folder to be used as Trash. If you access your account with some other mailer that uses a Trash folder, too, you may want to configure the inet webmail Interface to use the same folder as Trash. For example, the Microsoft Outlook client uses the Deleted Items folder as a Trash folder.
    Keep Message Received Time If this option is enabled, then messages moved to Trash keep the Received ("Internal") time attribute and shows the time when the message was received. If this option is disabled, the Received time attribute for messages moved to Trash is changed to the time when they were moved. This option has an effect on the next option.
    On Logout Remove from Trash if Older than When you logout of the inet webmail Interface, the system checks the Received date of the messages in the Trash folder, and removes all messages older that the specified period of time. Depending on the Keep Message Received Time option value, it allows you to keep only recent messages in the Trash, or to keep only recently deleted messages in the Trash.

    Once you finish, click on the Submit button at the top right corner.
3.7 - How do I set the messages character set?
  1. Click on the Settings button.

  2. Select the General Tab

  3. In the Text Encoding area, the following options can be set:

    Preferred Character set Use this option to set the Character set used for your messages Text. For Arabic text set this option to "Unicode UTF8" character set.
    Use Unicode (UTF) for Use this option and set the when to use Unicode character set

  4. Once you finish, click on the Submit button at the top right corner.
3.8 - How do I create a new folder?

Each account can have one or several folders. The InBox folder is special: it exists in every account, and is used to store incoming messages. The InBox folder is created automatically and a user cannot remove it, but can rename it. In this case, a new empty InBox is immediately created.

To create a new folder, please follow the directions below:
  1. On the left Folders bar, Click on the Add link located towards the top, next to Folders.

  2. Enter a folder name in the Folder Name field.

  3. Select the type of folder, by default if no type has been selected, the created folder will be the standard folder type that will be to store E-mail messages.

  4. Click on the Create button.

To close the new folder window, click on the Cancel button.

3.9 - Can I create a folder inside another folder?

Yes you can. Use the following format to name your new subfolder:

If you want to create a new subfolder with the name "July" inside an existing folder with the name "Year 2003", you need to insert the following text in the New Folder Name field "Year 2003/July"

3.10 - How do I delete a folder?

  1. Open the folder page by clicking on the folder name.

  2. Click on the Folder Options button at the top right corner.

  3. Click on the Remove button.
3.11 - How do I rename a folder?

  1. Open the folder page by clicking on the folder name.

  2. Click on the Folder Options button at the top right corner.

  3. Enter the new folder name in the New Folder Name field.

  4. Click on the Rename button.
3.12 - How do I change the folders display settings?
  1. Click on the Settings button.

  2. Select the General Tab

  3. In the Folders Viewer area, the following options can be set:

    Display This option specifies how many messages should be displayed on one folder page. If a folder has more messages than this option specifies, arrow links appear to allow you to "page" the entire Folder.
    Refresh Every This option specifies how often the folder pages should be automatically updated.
    Fields This set of options specifies the message fields to be displayed in the folder pages. Select -nothing- and click on the Update button to remove a field.
    Sort This set of radio buttons allows you to select the field for initial (default) folder sorting.
    Reverse This option specifies the initial (default) folder sorting order.

    Once you finish, click on the Submit button at the top right corner.
3.13 - How do I change the default folders names?
  1. Click on the Settings button.

  2. Select the General Tab

  3. In the Default Folders area, the following options can be set:

    Save Sent Messages Use this option to specify the name of your Default Sent Messages Folder.
    Save Draft Messages Use this option to specify the name of your Default Draft Messages Folder.
    Default Folder for Notes Use this option to specify the name of your Default Notes Folder.

    Once you finish, click on the Submit button at the top right corner.

 4 - Address Book and Contacts

4.1 - How can I use the "Address Book" feature?


The Address Book can be used to insert E-mail addresses in your composed messages.
  • To access your address book, you need to compose a new message and click on the Address Book button. If the ?address book? option is not selected by default in front of the Displaying, select the ?address book? from the list and click on the Filter button on the left.

  • Select one or several Address Book elements and click on the To/Cc/Bcc buttons to add the selected addresses to the message you are composing.

  • If an Address Book element is a Group, it is displayed in brackets ([name]). When you add a group to a message, all group elements are added.

  • To add an element to the opened Address Book, type the E-mail address (with an optional real name or comment) in the text field, and click on the Add New button.

  • To remove elements from the opened Address Book, select all the elements and click on the Delete button.
4.2 - What is a "Group" and how do I create and edit Groups?

A Contact Group Item contains a list of names and E-mail addresses.

To create a new ?Group?:
  1. Open any Address Book folder and click on New Group.

  2. In the New Contact Group, type the name of the new group that you want to create.

  3. Add new members by clicking on the Add button after each E-mail address you enter.

  4. You can add Notes to describe the new group.
  5. When you finish, click on the Submit button at the top right corner.
When you need to enter several groups, click on the Save and New button to save the current group and create a new group without closing the group page.

To modify a "Contact Group" Item:
  1. Open the Contacts folder that contains your groups information (All contacts folders have this icon ).

  2. Open the group item from the list of groups.

  3. Click on the Edit button.

  4. Update the contact group details and when you finish, click on the Submit button..
4.3 - What is the "Contacts" feature? And what is the difference between "Contacts" and the "Address book" options?

You can use Contacts feature to store much more information than the E-mail addresses that the standard Address Book provides. With Contacts you can have all the details stored in one folder (the folder ?Contacts? by default), where updating information can be done easily and without accessing the New Message page like the standard Address Book.

4.4 - How do I create and edit "Contacts" details?

To create a new contact:
  1. Open any Address Book folder and click on New Contacts.

  2. The New Contact page contains entry fields for Contact Item elements. Fill in the fields.

  3. When you finish, click on the Save Contact button.

When you need to enter several Groups, click on the Save and New button to save the current contact and create a new one without closing the page.

To modify a Contact Item:
  1. Open the Contacts folder that contains your Contacts information (All contacts folders have this icon ).

  2. Open the contact item from the list of contacts.

  3. Click on the Edit button.

  4. Update the contact details and when you finish, click on the Submit button..
4.5 - How do I use contacts or groups to compose new messages?

From inside the New Message page:
  1. Open the Address Book by clicking on the Address Book button.

  2. Select ?contacts? from the drop down list in front of Displaying.

  3. Click on the Filter button at the top right corner of the Address Book page.

  4. Select one or several Contacts elements and click on the To/Cc/Bcc buttons to add the selected addresses to the message you are composing.
4.6 - Can I import and export Contacts Data?

Yes you can. Contacts data can be imported and exported using the standard (vCard) format defined in RFC2426 standard.

To Import Contacts Data:
  1. Open the Contacts folder.

  2. Click on the Folder Options button at the top right corner.

  3. In the Import area, Click on Browse to select the (vCard) data.

  4. Click on the Import button.
To Export Contacts Data:

From inside the same Folder Options page:
  • Click on the Export vCard Data 2.1 link to export contacts in ?vCards 2.1? Format.

  • Click on the Export vCard Data 3.0 link to export contacts in ?vCards 3.0? Format.
4.7 - How do I change the default Contacts folders names?

  1. Click on the Settings button.

  2. Select the General Tab.

  3. In the Default Folders area, the following options can be set:

    Default Address Book Use this option to specify the name of your default Address Book folder.
    Default Contacts folder Use this option to specify the name of your default Contacts folder.

  4. Once you finish, click on the Submit button at the top right corner.

 5 - Spam management

5.1 - What is E-mail Spam?


Spam is unsolicited e-mail on the Internet. From the sender's point-of-view, it's a form of bulk mail, often to a list obtained from companies that specialize in creating e-mail distribution lists. To the receiver, it usually seems like junk e-mail. It's roughly equivalent to unsolicited telephone marketing calls except that the user pays for part of the message since everyone shares the cost of maintaining the Internet. Spammers typically send a piece of e-mail to a distribution list in the millions, expecting that only a tiny number of readers will respond to their offer. Spam has become a major problem for all Internet users.

5.2 - Can I get rid of E-mail Spam completely?


Although it's practically impossible to get rid of E-mail Spam completely, some advanced Anti-Spam filters can help in reducing the amount of Spam messages you might receive in your E-mail account.

inet E-mail services provides a built-in Anti-Spam feature using one of best Spam filter available in the market today.

5.3 - How do I use inet E-mail Anti-Spam filter?

To use the inet E-mail Anti-Spam filter, please follow the directions below:
  1. Click on the Settings button.

  2. Select the Anti-Spam Tab.

  3. In the Level of detection sensitivity area, choose the level of Anti-Spam from the available 6 levels in front of the Detection Level option. The stronger the level, the less probability that real Spam messages pass the filter without being identified as Spam messages.

    If you select the "none" option, the Anti-Spam will not filter the Spam messages.

  4. Next, you can choose the automatic action against those messages identified as Spam messages. The four available actions are:
    None: No action will be taken for the Spam messages.
    Discard: The Spam message will be discarded completely without reaching any of your folders.
    Store In: The Spam message will be stored automatically in the selected folder.
    Highlight: The Spam message will be received in your InBox but with a Red Color Title.

  5. When you finish, click on the Submit button.
Once you setup your Anti-Spam filter, all your incoming messages will be passed through the filter and once a message is identified as a Spam message, the configured action will be executed.

You can also specify some E-mail addresses to be blocked, and once you do so, any message received from any of those addresses will be blocked regardless of the message contents and you will not receive any message in any of your folders. You can block up to 5 E-mail addresses

To Block an E-mail address,
  1. Use Blocked Addresses area to enter the E-mail address and click on the Add button.

  2. Click on the Submit button.
To remove an E-mail address from the list of blocked Addresses
  1. Select the E-mail address you want to remove.

  2. Click on the Delete button.

  3. Click on the Submit button.
5.4 - Can I exclude some messages from being filtered by the Anti-Spam?

Yes, using Allowed addresses feature you can specify up to 5 E-mail address from which you can receive messages without passing through the Anti-Spam filter.

To add E-mail address in the "Allowed Addresses" list:
  1. Click on the Settings button.

  2. Select the Anti-Spam Tab.

  3. Use Allowed addresses area to enter the E-mail address and click on the Add button.

  4. Click on the Submit button.

To remove an E-mail address from the list of the "Allowed Addresses"
  1. Select the E-mail address you want to remove.

  2. Click on the Delete button.

  3. Click on the Submit button.


 6 - Messages Rules

6.1 - What are the messages rules?


Messages Rules are automatic processing rules that can be used to apply recipient-defined actions on the incoming messages if those messages meet certain criteria.

6.2 - How do I use messages rules?


To create, edit or delete a rule, open the Rules page by clicking on the Rules button.

  1. To create a new rule, enter its name in the top field in front of the Rule Name option and click on the Create button.

  2. To remove a rule, select the checkbox in the Delete column and click on the Submit button.

  3. To modify a rule click on the Edit link to open the rule settings page.
Each rule has a name, priority, a set of conditions, and a set of actions. The higher priority rules are checked first: a rule with the priority level of 9 is applied before a rule with the priority level 1.

If a message meets all rule conditions, the rule Actions are performed, and automated processing either stops, or precedes checking other, lower-priority rules.

Inside the rule settings page, you can set the conditions and actions for this specific rule

Rule Conditions


Each rule can have zero, one, or several conditions. The conditions are checked in the same order they are specified. If a message meets all filter conditions, the rule actions are performed.

The condition operations "is" and "is not" process their parameters as "pictures": the asterisk (*) symbols in parameters are processed as wildcards that match zero or more symbols in the tested string. To check that a string contains the @thatdomain substring, the "is *@thatdomain* operation should be used, and to check that a string does not end with the somedomain.com substring, the "is not *somedomain.com operation should be used.

The condition operations "in" and "not in" process their parameters as sets of one or more "pictures" separated with the comma (,) symbol. The tested string is compared to all picture strings. The "in" condition is met if the tested string matches at least one picture string. The "not in" condition is met if the tested string does not match any picture string in the specified set.

The following Rule conditions are implemented

From This condition checks that the message From address is (or is not) equal to the specified.
Sender ,To, Cc, Reply-To The same as above, but the message Sender, Reply-To, To, or Cc address is checked.

If a message has several addresses of the given type, the condition is met if it is true for at least one address. If a message has no addresses of the specified type, the condition is not met.
Any To or Cc The same as above, but all message To AND Cc addresses are checked. If the message has no To/Cc addresses, the condition is not met.
Each To or Cc All message To AND Cc addresses are checked. The condition is met if it is true for each To and Cc address of the message, or if the message has no To/Cc addresses.
Return-Path This condition compares the message "Return-Path" (a.k.a. MAIL FROM) envelope address with the specified string.
'From' Name The same as above, but instead of the address, the "address comment" (the real name) included in the From address is checked.
Subject This condition checks if the message subject is (or is not) equal to the specified string.
Message-ID This condition checks if the message ID is (or is not) equal to the specified string.
Message Size This condition checks if the message size is less than (or greater than) the specified number of bytes.
Human Generated This condition checks if the message is not generated by some automatic message generating software.
It actually checks that the message header does not contain any of the following fields:
Precedence: bulk
Precedence: junk
Precedence: list
X-List*
X-Mirror*
X-Auto*
X-Mailing-List
This condition also checks that the message has a non-empty Return-Path.
Header Field This condition checks if the message RFC822 header contains (or does not contain) the specified header field.
Any Recipient This condition compares message "Envelope" addresses. If this condition is used in an Account-Level Rule, only the addresses routed to that account are checked.
Each Recipient The same as above, but the condition applies only if it is met for all message envelope addresses (if used in an Account-Level Rule - for all message addresses routed to that account).
Time of Day This condition checks the current time of day in the Server time zone. This condition allows you to compose rules that are applied to messages only at certain times of day.

A time string should be specified as hh:mm or hh:mm:ss, where hh is the hour, mm - minutes, ss - seconds. Time strings can contain the am or pm suffix
Current Date This condition checks the current time and date. This condition allows you to compose rules that are applied to messages only before or after the specified date and time.
A date string should be specified in one of the following formats:

DD is the day of month

+ZZZZ or -ZZZZ is the time zone; if the time zone is not specified, the Server time zone is used.
Current Day This condition checks the current day of week (using the Server local time zone). This condition allows you to compose rules that are applied to messages only on certain days of week.

Days should be specified either as numbers (0 for Sunday, 6 for Saturday), or as RFC822 abbreviations (Sun, Mon, Tue, Wed, Thu, Fri, Sat).
Source This condition checks if the message was received from a "trusted" source or from an "authenticated" source (via SMTP, inet webmail, MAPI, POP XMIT, Rules - when the originator of the message is verified and authenticated).
Submit Address This condition checks the message submit address. If the message was generated within the Server (by a Rule, etc.), its submit address is empty. Otherwise it contains the name of the module that received the message and (separated with a space symbol) the network (IP) address the message came from.


Rule Actions

Each Messages Rules can have zero, one, or several actions. If a message meets all the rule?s conditions, the rule?s actions are performed.

The following rules actions are implemented

Stop Processing This action should be the last one in a Filter. Execution of this Filter stops the process and no other (lower-priority) Filters are checked for that message. The message is stored in the InBoX.
Discard This action should be the last one in a Filter. Execution of this Filter stops the process and no other (lower-priority) Filters are checked for that message. The message is not stored in the InBoX, but the positive Delivery Notification is sent back to the message sender (if requested).

Reject [error message text] This action should be the last one in a Rule. Execution of this Rule stops the process and no other (lower-priority) Rules are checked for that message. The message is rejected, and a negative Delivery Notification is sent back to the message sender.
If the action parameter text is not empty, it is used as the error message text.

You can still store the rejected message using the Store action before the Reject action.

Mark operation [, operation...] This action sets or resets the specified flag(s) for the message. Initially, the set of message flags is empty. The Read operation adds the Read (Seen) flag to the message flag set, the Unread operation removes the Read (Seen) flag.

The Flagged operation adds the Flagged icon to the message flag set, the Unflagged operation removes this flag.

The Answered operation adds the Answered flag to the message flag set, the Unanswered operation removes this flag.
When a message is stored in a folder as a result of the Store in action, as well as when a message is stored in the InBoX after all Rules are applied, the message is stored with the specified flag set.

Add Header [Header fields] This action adds RFC822 header fields to the message. Initially, the set of additional message header field contains the Return-Path field generated using the return-path in the message envelope.

When a message is stored in a folder as a result of the Store in action, as well as when a message is stored in the InBoX after all Rules are applied, the message is stored with the additional header fields.

The Add Header action can be used to add an X-Color field. This field is detected by the Web Interface and is used to highlight a message in the folder:

Note: The following actions are not implicit "Discard" actions, and they do not prevent the original message from being stored in the InBoX. If you want, for example, to redirect a message without keeping a copy in your InBoX, specify the Redirect action followed with the Discard action.
Store in folder name The message is copied to the specified folder in your account. The folder should be an existing one.

If the folder name is specified as ~user_name/folder_name, the message is stored in the folder_name folder in the user_name account. You should have the Insert access right to that folder.

Discard
Redirect to addresses The message is redirected to one or several specified E-mail addresses. If several addresses are specified, they should be separated with the comma (,) sign.
Forward to addresses The message is forwarded to the specified addresses. The From address is changed to this account address.
Mirror to addresses The message is mirrored (redirected) to the specified addresses. Unlike the Redirect to operation, the Mirror-to operation does not change the message headers, only the Return-Receipt-to: and Errors-to: header fields (if any) are removed, and the X-Mirrored-by header field is added to the "mirrored" messages.
Reply with message text The specified text is used to compose a reply message. The reply is sent to the address specified in the Reply-To address of the original message. If the Reply-To header is absent, the reply is sent to the original message From address.

The header fields Subject: Re: original message subject and In-Reply-To:

original message-ID are added to the reply message.
The specified message text can contain macro symbols that are substituted with actual data when a reply message is composed:
^S is substituted with the Subject of the original message (in its original form)
^s is substituted with the Subject of the original message (in the MIME-decoded form)
^F is substituted with the From address of the original message (in its original form)
^f is substituted with the From address of the original message (in the MIME-decoded form)
^T is substituted with the Date field of the original message
^I is substituted with the Message-ID field of the original message
^R is substituted with the To field of the original message (in the MIME-decoded form)

If the specified text starts with the '+' sign, the lines following this sign are added to the message header. The text should specify the Subject field, since the system will not automatically add the Subject: Re: original subjectand In-Reply-To: original message-ID fields into the reply message.

The specified header portion can contain additional To, Cc, and Bcc fields and the reply message will be sent to those addresses (the Bcc fields will be removed from the message header).

If the specified header does not contain the From field, the account address is added as the From field. If the From field is specified, the account address is added as the Sender field.
The ^S and other macro symbols can be used in the additional header fields, too.

If the specified text starts with the [charsetName] string, the text is converted to the specified charset (all non-ASCII texts are stored in the UTF-8 charset).

If the text does not start with the '+' sign, the header fields
MIME-Version: 1.0
Content-Type: text/plain; charset=charsetName are added to the message headers.
If the text starts with the '+' sign, the '+' sign must be specified after the [charsetName] string, then you should specify the MIME-Version and Content-type fields yourself.

Reply to All with message text
The same as above, but the reply is sent to all addresses listed in the original message To: and Cc: fields.
React with message text The specified message text should contain a header, an empty line, and the message body. The header should contain any number of To, Cc, and Bcc fields, the Subject field, as well as any number of additional fields. The composed message is sent to the specified addresses. The system uses the account address to compose the From field for these reaction messages.

If the specified header already contains the from field, the account address is added as the Sender field


6.3 - How do I setup the "Vacation Message" feature?

You can setup a Vacation Message as an automated message to be sent as a reply to any message received from any sender, the message can be enabled and disabled at any time. To setup the Vacation Message option;
  1. Click on the Rules button.

  2. In the Vacation Message area, enter your vacation message in the text area.

  3. Click on the Enable Vacation Message button.

To ensure that those who got your vacation message once will not receive the same message again, a list of all replied to E-mail addresses would be stored automatically (in Replied Addresses List). If you need to empty this list, you can do so by clicking on the Clear Replied Addresses List button.

6.4 - How do redirect/forward my incoming messages to other E-mail addresses?

To redirect/forward all your incoming messages to other E-mail addresses, please follow the directions below:
  1. Click on the Rules button.

  2. In the Mail Redirection, enter the E-mail addresses you want to redirect/forward your incoming messages to.

  3. Check the Enable E-mail Redirection checkbox.

Redirection has the following optional features:

Keep a Copy If this option is not selected, all redirected messages are NOT stored in the account InBoX.
Do not Redirect Automatic Messages If this option is selected, messages from non-human sources (mailing list messages, error messages, redirected and mirrored messages) will not be redirected.
Preserve To/Cc fields If this option is selected, the redirection will not change the message headers, only the Return-Receipt-to: and Errors-to: header fields (if any) are removed, and the X-Mirrored-by header field is added to the "mirrored" messages.


 7 - Folders Sharing

7.1 - What is the Folders Sharing feature?


Using folders sharing feature enables folders belonging to certain inet E-mail accounts to be shared with other inet E-mail accounts.

E-mail Premium users can grant other inet E-mail users different privileges to access one or more folders belonging to their accounts. At the same time, E-mail Premium users can access other folders belonging to other inet premium E-mail users if they have been granted access by the accounts/folders owners.

All other inet E-mail users, can only access folders belonging to Premium E-mail accounts (if granted access by the owner). They will be not able to give other users access to their own folders.

7.2 - How do I grant Folder Sharing access to other inet E-mail users?


  1. Open the folder you want to share.

  2. Click on the Folder Options button.

  3. In the Access Control List, enter the full E-mail address of the user you want to share this folder with in the Identifier field.

  4. Select the privilege level of the available options to the right, the available options are

    (Lookup) If you grant a user the Lookup access right, that user will be able to see this folder when it asks the Server to list all folders in your Account.
    (Read/Select). If you grant a user the Read access right, that user will be able to open (select) this folder and see (read) the messages in this folder.
    (Seen) If you grant a user the Seen access right, that user will be able to mark messages as read (seen). Usually a message is automatically marked as seen when a user reads it. But if this access right is not granted, the folder message "seen" status will not be changed.
    (Write/Flags) If you grant a user the Write access right, that user will be able to set message flags: i.e. to mark messages as answered or "flagged", and to reset the message flags.
    (Delete) If you grant a user the Delete access right, that user will be able to mark messages as deleted and to compress the folder, removing all its messages marked as deleted.
    (Insert) If you grant a user the Insert access right, that user will be able to append messages to this folder and to copy messages from other folders into this one.
    (Post) This access right is not used by modern mailers.
    (Create) If you grant a user the Create access right, that user will be able to create new subfolders "inside" this folder.

    When a subfolder is created, it inherits the access privilege of the "parent" folder. This means that if you create the InBoX/sales folder, it is created with the same ACL as specified for the InBoX folder.
    (Administer) If you grant a user the Administer access right, that user will be able to modify the ACL for this folder.

  5. Once you finish, click on the Submit button at the top right corner

To change/delete Folder access, execute the changes and click on the Submit button at the top right corner.

Important Note: You can use the folder sharing feature with other inet E-mail users only, as this feature does not work
                           with non inet E-mail accounts.

7.3 - How do I access folders located in other E-mail premium accounts?


Only after you have been given access to folders in other inet E-mail premium accounts, you can start the configuration on your account to access those Folders.
  1. Click on the Settings button.

  2. Select The Folders Sharing Tab.

  3. In the folder subscription area, you will find all your folders configured. To configure an access to a folder in another Premium account, choose an empty field to type the following:

    Type the tilda sign (~), the user E-mail address, the slash sign (/) and then the folder name. Make sure that user has already granted you the Select access right for that folder.

  4. Once you finish, click on the Submit button at the top right corner

You can also use aliases for the foreign folders accessed from your E-mail account:
  1. In the Folder alias area, type the new alias name.

  2. In the Foreign Folder name field, type the full path to the folder as described below

    Type the tilda sign (~), the user E-mail address, the slash sign (/) and then the folder name. Make sure that user has already granted you the Select access right for that folder.

  3. Once you finish, click on the Submit button at the top right corner

If you would like to open a folder without including it into your subscription list, use the Open Folder area
  1. Enter the full path to the folder as described below

    Type the tilda sign (~), the user E-mail address, the slash sign (/) and then the folder name. Make sure that user has already granted you the Select access right for that folder.

  2. Click on the Open button and the foreign folder will be displayed among your list of folders if you have the right access.


 8 - E-mail Address alias

8.1 - What is an E-mail Alias?


An E-mail Alias is an alternative address assigned to your inet Premium E-mail account. This alternative name has a flexible format and can contains special characters like (-, _, .) with a length of more than 100 characters.

You can setup one alias only per your Premium E-mail account and you can change it at any time.

8.2 - How do I setup my E-mail Alias?

  1. Click on the Settings button.

  2. Select The Alias tab.

  3. Read carefully the "Important Note" at the left side of the screen before you set up your alias

  4. Type your E-mail password and the new alias name.

    If the alias name has not been taken by another user, a successful message will be displayed and you can use the new alias name immediately for sending and receiving messages along with the original E-mail address.

  5. Click on the Submit button

You can delete or change your alias later using the same page.

8.3 - After, I setup an E-mail address alias, which address will be used to send/receive my new messages?


You can use both addresses to send/receive your messages.

On the sending side,

You can setup the From field in your new composed messages with the original E-mail address or the Alias address so that the recipients of your messages see the address you would like them to see and reply to you on the same address.

On the receiving side,

You can publish any or both of your addresses to receive your E-mail, all messages sent to you on any of your two addresses will be received in your InBox.


 9 - Remote POP

9.1 - What is Remote POP feature?


The Remote POP feature is used to poll messages from other E-mail accounts that support Post Office Protocol (POP) format. The messages will be polled automatically and based on the Remote POP configuration.

You can poll messages from as many accounts as you want

9.2 - How do I use Remote POP feature?

  1. Click on the Settings button.

  2. Select The Remote POP tab.

  3. The available options in the External E-mail Account are:

    Poll Every This option specifies how often the Remote POP should poll the remote account. Set this option to " ----" to remove the remote account record. If you set this option to "disabled", the account record is not removed, but the remote account is not polled.
    POP Account This option specifies the name of the mail account on the remote host.
    Mail Server This option specifies the exact name of the E-mail server (or The E-mail Domain) that should be polled. Please note that this could be the name of a specific computer (as specified in DNS A-records), not just a generic domain name of the provider system.

    For example, if the provider has the domain name provider.com, its POP server is usually named mail.provider.com or pop.provider.com.
    Password The E-mail password to use to log into the remote E-mail account.
    Leave If this option is selected, the Remote POP does not delete messages from the remote account. Instead, it remembers the UID (Unique IDentifier) of the retrieved messages, and the next time the RPOP module polls this remote account, it does not retrieve messages that have the same UIDs.

    If you want to use this option, verify that the remote POP server supports the UIDL command.
    APOP If this option is selected the Remote POP uses the secure APOP method for authentication on that remote host.
    TLS If this option is selected, the RPOP module tries to establish a secure (SSL/TLS) connection with the remote host.

    Standard POP servers accept incoming secure connections on the TCP port 995. If you need to poll an account on a remote secure POP server that uses a non-standard port, specify the port number after the host name, using the colon (:) symbol as the separator: pop.provider.com:9786
    Result of last Poll If the last attempt to retrieve mail from the remote account was successful, this field tells when (in the server's local time) this attempt took place.

    If the last attempt was not successful, the field contains the error code

    Click on the Submit button.
9.3 - Can I use remote POP to retrieve my messages from Web-based E-mail accounts like Yahoo or Hotmail?

Yahoo and Hotmail do not support POP type of E-mail access in their free Web-based services. However if you have subscribed to their paid services, POP access is supported and you can use it to poll messages into your inet Premium E-mail account.

Generally, most of the Web-based E-mail services do not support POP E-mail access.

 10 - Miscellaneous

10.1 - How do I change my E-mail Account password?


  1. Click on the Settings button.

  2. Select the Password tab.

  3. Enter your current password once and your new password twice.

  4. Click on the Submit button
10.2 - Can I use the inet webmail interface to store Notes messages?

Yes you can. Click on the New : Note to open the Notes page. Inside the Notes page you can enter your Notes message and attach some files to it if you like. When you finish, click on the Save button.

10.3 - Can I use the inet webmail interface to upload/store some files for later access from different locations?

Yes you can. Use the Notes messages to upload/store your files for later access from different locations. For instructions on how to use Notes message, pleases refer to question 10.2

10.4 - How do I know when I have reached my E-mail storage quota?

You can check the percentage of your storage that you currently use. You can see this percentage below the folder list at the left side bar.

In addition, you will see a notification page whenever you try to access your inet web mail and your E-mail storage is approaching the storage limit.

10.5 - Do the messages in my trash folder count toward my storage limit?

Yes, messages in your trash folder count toward your storage limit. As a rule, if you can read a message, it counts toward your limit. To permanently remove the contents of the trash, click on the Empty link next to the trash folder in the left folder bar.

10.6 - What if I reach my storage quota and someone sends me a message?

If you have reached your storage limit and another user attempts to send you a message, the message will be returned to the sender with an explanation that you have reached your storage limit.
